Daily sales report template for field sales reps

A daily sales report lists a rep's visits for the day, each with the customer, the reason, the outcome and the next step, and adds them up: visits made, orders, quotations asked for, follow-ups needed. In this free template the Excel workbook does the counting for you.

What it is for

What a daily sales report is for

A manager reading ten daily reports at six in the evening wants to know three things: did the planned visits happen, what did they produce, and what is stuck. Revenue lines copied from the ERP do not answer that. A list of visits with an outcome each does.

The template keeps one line a visit. The reason and the outcome come from short lists, so the totals at the bottom count themselves, and a week of reports can be put side by side without retyping anything.

How to

How to fill in a daily sales report

A line after each visit, and five minutes at the end of the day.

  1. 01

Write the plan before you start

The date, the area or route, and how many visits are on today's plan.

  2. 02

One line a visit, as you go

Time in, customer and the person met. Fill the line in before the next visit, not at the end of the day.

  3. 03

Choose the reason and the outcome from the lists

The drop-downs in the Excel file keep everyone's words the same, which is what lets the totals count.

  4. 04

Put a value only where there is one

With its currency. An estimate is fine if it says so.

  5. 05

    Give every follow-up a date

Each “Follow-up needed” and each quotation should have a next step and a day.

  6. 06

    Check the totals

The workbook counts visits, orders, quotations asked for, follow-ups, new prospects and customers not met.

  7. 07

    Write tomorrow's plan

The first visits for tomorrow, so the day starts on time.

Avoid

What makes a report useless

  • Totals typed by hand, which drift away from the lines above them.
  • Leaving out the visits where the customer was not there.
  • No plan for tomorrow, so the first visit starts at ten.
  • A report nobody reads. If the manager never answers, reps stop writing.

selXP

A daily report that writes itself

In selXP each visit is recorded as it happens, so the day's report already exists. Managers see their people's leads and outcomes in Reports, by person and by dates, and can export or print them. With Field Presence switched on, each person's day is listed in order, and a daily email can send each manager their people's day once it closes.

Teams and reports
  • Reports by person and dates, printed or exported
  • Late starts and hours for payroll, if you want them
  • Planned visits for the week
  • Saved with no signal and sent later

Questions

Daily sales report: what people ask

What should a daily sales report include?

The date, the rep and the area, then one line a visit: time, customer, person met, reason, outcome, value if there is one, and the next step with a date. Then the totals of visits, orders, quotations and follow-ups, and the plan for tomorrow.

Should field reps report daily or weekly?

Daily. Details fade fast, and a manager can still act on today's problems today. A weekly report is better built by adding up the daily ones, which this layout makes easy, than written from memory on Thursday.

How do I make a daily sales report in Excel?

Use one row a visit with drop-down lists for the reason and the outcome, then count them with COUNTIF. This template already does that: download the Excel file, fill in the rows, and the totals for the day update themselves.

How many visits should a field sales rep make in a day?

There is no single number. A rep on a city route of shops can see many customers in a day, while technical sales on project sites may manage two or three. Plan from your own team's reports over a month rather than from a figure found online.

Should reps report visits where they did not meet anyone?

Yes. “Didn't meet” shows a manager where the time goes, and the same customer missed twice usually needs an appointment or a different contact.
